Minutes approvedAttendeesTabitha Gilkey, Gary Frank, Angel Olenberger, Brian Hainzinger, Duane Gilkey, Ron McGill, Joe Wilson and Milton NashDuane is currently working on the Barnsdall Friendly Duel scheduled for Thursday. The duel last week with Pulsifer wrestling was a huge success and many parents have voiced their appreciation for this. Although we were not able to get all our kids matched up, it was still a positive and fun time. Many parents have stated they wish we could do that more often. Barnsdall is a much larger club so we are hoping all that sign up for the duel will get an even match. So far there are 10 kids who have contacted Duane. There will be a final signup sheet at tomorrows practice. Treasurers report: We have $5500 currently. Expenses for the remainder of year estimated: 300 singlet refunds, 500 banquet catering, 150 gifts for wrestlers, 300 trophies, metals and plaques, 50 misc. expenses for banquet. Expenses estimates to start next season: 100 signs, 2500 warmups, 100 first aid refills, 150 state entry fees, 200 state shirts for wrestlers, Income estimate for rest of year: 50 remaining t-shirts, 100 sonic cards, 500 raffle. This will leave us with just over 1700 to begin next season; which is more than we have ever begun with. Banquet: The banquet will be on Friday, March 6th at 6:30PM at Dewey Christian Church. We expect about a 25percent increase in attendance due to the increase in club membership and attendance throughout the year. The budgeted food amount of $500 may need adjusted; we will do a potluck meal with the club providing the meat (Quotes needed). We will estimate 125 to be in attendance. Ron will provide water and tea like last year. Angel to send out email seeing how many plan on attending then notify those getting quotes; then send out another email with A-M to bring a side dish and N-Z to bring a dessert. We may need assistance with decorations, setting up, etc. Tabitha plans on taking off work early and meeting Dana. Several members have volunteered to help with set up and cleanup. The purpose of banquet is to honor the kids for their hard work throughout the year. We eat and have fun. We also have the raffle- which is typically our major fundraiser for the year and helps the next season start. The coaches will prepare something for the banquet to explain our goals as a club, request volunteers for future and our goals for future. We need people on the board and as coaches who will be at all the meetings, practices and tournaments not just people who want a vote but dont want to put in the time. We are a team and are all here for the kids. We will also give prizes, metals, and other awards (tbd after novice and open state). Several items have already been donated for the raffle. This year we will have 2 raffles. One will be for prizes of value on or around $100 and one that will be $5 a ticket for larger items to be donated/ purchased. Budget to be adjusted to include club to purchase items for raffle. With this increase we will adjust the budget to include extra income from raffle. Warm-ups and gear: Gary in charge of getting samples, prices and working with vendors. We will use Thornton Graphics for our state shirts (example at meeting), and gear for next year. We will go with the nearfall warmups at $65/set; this is an Oklahoma owned company; warm ups are zip up, hooded, made of a nice, thick material, pants have elastic banded bottom. The warm ups will each have an embroidered number on tops and bottoms and will be checked out for kids going to tournaments and returned the next Monday- cleaned- to be checked out at Tuesdays sign ups. The gear design with Thornton graphics will need some slight changes on back. The previously approved amount for warm ups was $1500. We need to vote on increase to $2600 to purchase amount estimated for upcoming season. Gary makes a motion, Duane 2nds motion. Unanimously approved. Code of Conduct: As our club grows, we now have a need to include a code of conduct. This will need to be added to our bylaws or constitution. Anyone representing the club whether a coach, parent or child, will need to abide by code and will have consequences if continuously ignored. As stated in the parent meeting a few weeks ago, we do not need drama. These kids are why we are here, they are our future and need to learn to respect others and themselves and be team players. Gary will look up other clubs codes and will have something at next meeting to discuss. We will then make an addendum. As far as eligibility, we are not associated with the schools; it is the parents responsibility to watch their kids grades, attendance, etc. Gary to discuss at next practice as well. Items voted and approved during this meeting: End of season metals and lanyards. Plaque to have 18 faceplates, Novice state winners to receive a state shirt; however if they win at both novice state and open regionals, they will receive only 1 shirt. We will use nearfall for warmups. We will adjust budget for raffle items. Prizes for end of year banquet. Club to provide meat for banquet. Code of conduct will be added in future. For future meetings treasurers report and/or budget to be present along with previous meetings finances. Banquet to be held on March 6th. Items for next meeting: select Bruin Award winner, Novice and Open Outstanding Wrestlers, and any other awards.
